Job Summary
Shipping Coordinator is responsible for coordinating the shipping of finished product & SFG from internal & external manufacturing sites to our distribution centers. Also facilitate other ad-hoc import & export shipments as required. Another key component will involve assisting the Warehouse Manager in management of internal and external cross functional relationships and processes. This role includes assisting the Warehouse Manager in the training and coaching of staff. Additionally, you will provide team support as needed in the Warehouse Manager's absence.
Essential Duties and Responsibilities
- Safe operation being the primary objective, the Shipping Coordinator ensures good shipping schedules are achieved in accordance with the company’s policies and procedures, this includes efficient shift start up, handover to next shift and driving performance to achieve site metrics, Safety. Quality, Performance, Financial etc.
- Out of hours the Shipping Coordinator acts for the WH Manager for all relevant shipping activities and engages the site call out support system as required.
- Coordinate and manage the transport and carriers for:
- Finished Product shipments across our Global Network.
- SFG & Materials to Sister Sites.
- Direct supply from OFST to WFD & WFD to OFST both SFG & FG.
- Carriers must be contacted, and a shipping schedule agreed.
- Work closely with local transport partners to ensure the highest level of customer service.
- Plan and manage peaks in shipping volumes around EOM/EOQ/EOY i.e.
- Maintain regular and proactive communication with all internal and external stakeholders and manage these relationships to ensure efficient execution of Shipping schedules.
- Manage day-to-day queries relating to freight shipments and escalate as required to protect the Shipping schedule
- Manage aspects of the compliance requirement which will include the oversight of the quality records, and to identify key areas for improvement and accurate record keeping for all goods shipped. This to extend to K&N OFST FG storage when it comes online.
Promote and support site initiatives including safety programs, lean initiatives, training programs, and consistently interpret and apply all policies, practices and procedures among plant team members. - Maintain a positive employee relations atmosphere. Ensure that there is good communication and co-operation by encouraging knowledge sharing.
- Creation of GMP and non-GMP documentation including SOPs and shipping documentation.
- Fully compliant with internal SOP’s and standards.
- Management of K&N OFST storage of FG to include succession planning on training team members to business-critical process.
- Partner closely with internal and external teams to manage and best effect delivery of shipping schedule, transport co-ordination, material movement and onsite/offsite storage capacity.
- Manage transport cost of direct supply from OFST to WFD & WFD to OFST.
- Participate in projects for continuous improvement related to Global Logistics and Supply Chain.
- Cover for warehouse TMs to support shipping activities (2302 sample splitting etc.)
- Ensure department deviations are investigated thoroughly and CAPA actions if required?
- Develop a strong working relationship with client customer services.
- Process, reconcile and validate for payment in the SAP system all freight invoices.
- Work closely with the quality team on product release and ensure UD is sufficiently ahead of shipping schedule.
- Act as subject matter expert for shipment, system updates and any other relevant projects.
- Monitor/maintain FG inventory.
- Act in accordance with the company’s Guiding Principles and adherence to the corporate Code of Conduct.
- Compliance with all local site Environmental, Health and Safety regulations and contribution to Improvement of Safety in the Laboratory.
- Compliance with all local site company policies, procedures, and corporate policies.
Education
- Minimum Education: 3rd Level qualification or relevant work experience
- Valid drivers’ license; able to drive company van and forklifts.
Preferred Knowledge, Skills and Abilities
- 3+ years prior work experience in a Manufacturing, Warehouse or Logistics environment
- Strong working knowledge on SAP
- Knowledge of various receiving systems and descriptions and how each applies to our needs.
- Knowledge of Good Manufacturing Practices (cGMP) requirements would be an advantage.
- Proficient in the use of Excel and Word.
- A concise understanding of Airline/Ocean & Land network & equipment capabilities an advantage.
- A strong understanding of rates & peak operational periods and how to plan in advance for these.
- A solid understanding of data management systems e.g., booking platforms, track & trace interfaces, Claims process mechanisms and other freight management systems.
- Relationship building with internal and external customers.
- Ability to work autonomously and manage own time.
- Be flexible and effective in responding to changing, challenging or competing deadlines.
- Work effectively with cross functional departments.
Travel Requirements
- Must be able to travel up to 5% of the time.
