Job Summary:
The Specialist, Human Resources collaborates closely with the local HR Manager and HR Centers of Excellence (COEs) to deliver comprehensive HR support to managers and employees at West’s Scottsdale Development Center (SDC). This position reports to the HR Manager, and the primary responsibilities encompass various HR functions, including onboarding, offboarding, and data management. This entails performing HRIS data entry, maintaining systems and efiles, and conducting audits of files and data.
Essential Duties and Responsibilities:
- Manage the end-to-end process of new hire setup and onboarding, identifying areas for improvement and making recommendations for enhancement.
- Develop and facilitate engaging new hire orientation programs to ensure a smooth and positive onboarding experience.
- Address and promptly resolve inquiries and concerns from employees and managers pertaining to payroll, benefits/insurance, and Employee Self Service, providing accurate and helpful information.
- Interpret HR policies, ensuring consistent application and compliance across the organization.
- Oversee the execution of the university hiring program, attracting top talent and coordinating the recruitment process.
- Manage the offboarding process for departing employees, ensuring a smooth transition and adherence to policies and procedures. This includes conducting exit interviews, coordinating the return of company property, and updating HR systems and records accordingly.
- Maintain HR paperwork and systems, including data entry for new hires, transfers, pay, badging, termination, and other HR-related transactions. Additionally, manage filing, postings, and announcements to ensure accurate and timely information dissemination.
- Ensure meticulous record-keeping by maintaining employee records in the HR systems and regularly updating employee files.
- Provide comprehensive administrative support, including but not limited to mailings, scheduling, distributing information, preparing HR documents, generating reports, and other tasks as required.
- Serve as a backup for the Learning Management System (LMS) Administrator, supporting LMS functions as needed.
- Collaborate with the HR Manager to implement and execute culture, engagement, and Diversity, Equity, and Inclusion (DEI) initiatives and events.
- Undertake special projects and additional duties as assigned, based on evolving business needs.
Basic Qualifications:
- Bachelor’s degree in HR, business, or related field (or equivalent experience)
- Experience: Minimum of 3 years of human resources experience
- Proven experience in HR administration, data management, and HRIS systems.
- Strong attention to detail and ability to handle confidential information with discretion.
- Excellent written and verbal communication skills
- Read and interpret data, information, and documents.
Preferred Knowledge, Skills and Abilities:
- Ability to collaborate effectively with diverse stakeholders
- Must be able to effectively multi-task, work under time constraints, problem solve, prioritize and adapt to changing business situations
- Prior experience giving presentations in front of large groups.
- Able to be aware of all relevant SOPs as per company policy as they are related to the position covered by this Job Description.
- Able to always comply with the company’s safety and quality policies.
Travel Requirements:
- Limited travel - up to 5% of the time
Physical and Mental Requirements:
- Sedentary - exerting up to 10lbs/4kgs of force occasionally, and/or negligible amount of force frequently or constantly to life, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
