Job Summary
Provides professional high level administrative support to the Vice President, Investor Relations. Supports day-to-day executive operations including calendar management, meeting coordination, travel arrangements, and expense processing. This role assists with coordination of Investor Relations activities and works closely with internal teams to ensure meetings, events, and deliverables are organized and executed efficiently. The Associate exercises sound judgment in handling highly sensitive financial and market-related information with discretion. The role partners with other administrative professionals on projects and contributes to continuous improvement initiatives across the administrative organization.
Essential Duties and Responsibilities
- Manage and maintain the VP, Investor Relations calendar, including scheduling meetings, resolving conflicts, and coordinating across time zones.
- Coordinate internal and external meetings, including logistics, agendas, materials preparation, and follow-up actions.
- Provides highly detailed administrative support for quarterly earnings processes, including scheduling meetings, organizing rehearsal logistics, and assisting with material distribution.
- Assist with complex planning and logistics for investor conferences, analyst meetings, and related events, including registration, travel arrangements, and scheduling.
- Coordinate domestic and international travel arrangements and prepare detailed itineraries.
- Process expense reports, vendor invoices, and purchase requisitions in compliance with company policies.
- Maintain organized records of meetings, investor engagement activities, and related documentation.
- Prepare routine correspondence, presentations, and meeting materials as requested.
- Communicate professionally with internal stakeholders and external contacts to support scheduling and information requests.
- Provide backup administrative support to other executives as needed during absences or peak workload periods.
- Partners with other administrative professionals on projects and contribute to continuous improvement initiatives across the administrative organization.
- Perform other administrative duties and projects assigned.
Basic Qualifications
Preferred Knowledge, Skills and Abilities
- Experience supporting Investor Relations, Finance leadership, or senior executives within a global, matrixed organization.
- Demonstrated ability to manage competing priorities, and high-visibility initiatives simultaneously.
- Experience coordinating executive-level meetings, board engagements, earnings calls, investor conferences, analyst meetings, and related communications/logistics.
- Proven project management capabilities with strong attention to detail, execution discipline, and follow-through.
- Exceptional organizational, written, and verbal communication skills, with the ability to prepare executive summaries, presentations, and professional correspondence.
- Strong interpersonal skills with the ability to interface effectively across all organizational levels, including investors and external stakeholders.
- The ability to anticipate needs, adapt to shifting priorities, and proactively resolve complex issues.
- Professional presence with sound judgment, discretion, integrity, and the ability to handle highly confidential and market-sensitive information.
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook), SAP, Concur, and collaboration platforms such as Teams and SharePoint. #LI-AP1 #LI-HYBRID
