Job Summary
The Senior Technical Business Support role is integral to enhancing the productivity and efficiency of the organization by providing high-level administrative and operational support. This position requires a professional with strong organizational skills and the ability to streamline processes, manage projects, and support the engineering leadership team in achieving strategic goals.
In this role the position holder will provide business and technical support to the Vice President in Global Engineering as well as to the Global Engineering Team located across the West network.
Essential Duties and Responsibilities
- Communication and Documentation: Serve as a point of contact for internal and external stakeholders, facilitating effective communication and information flow. Prepare reports, presentations, and documentation to support business initiatives and management decisions. Responsible for reviewing, completing, and uploading documents into the documentation management system, while driving the related approval process to ensure accuracy and compliance.
- Project support: Support and coordinate various business projects, tracking progress and ensuring deadlines are met. Collaborate with different departments to gather necessary information and resources for project execution.
- Process Improvement: Identify opportunities to improve efficiency and effectiveness through process enhancements and tools optimization.
- Financial Reporting and Analysis: Assist in budgeting, forecasting, and financial reporting activities.
- Meeting & Event Management (coordination of meetings, rooms, technical equipment, transportation, hotel, catering)
- Organize visits, guide and assist visitors.
- Travel management for engineering team
- Support SAP systems focusing on CAPAs and Change Control by implementing, managing actions and changes, training, liaising with stakeholders, and generating reports for improved efficiency and compliance.
- Facilitate knowledge management ensuring accurate filing, documentation and version control of records.
- Manage the onboarding process for new team members.
Education
- Bachelor's degree, preferable commercial or technical study
Work Experience
- Minimum 5 years’ experience in a comparable support role,
- Proficient computer skills and in-depth knowledge of relevant software, MS office suite particularly collaboration tools Teams, SharePoint, OneDrive, SAP
- Familiarity with project management tools and methodologies.
